Every year, the Kenya National Examinations Council (KNEC) oversees the registration of candidates for Kenya Certificate of Secondary Education (KCSE) and Kenya Junior School Education Assessment (KJSEA). KCSE & KJSEA Registration Mistakes Schools Should Avoid

The registration exercise is always conducted via the Kenya National Examinations Council online portal and school heads are mandated with this duty. Therefore, its their responsibility to ensure that registration details of all candidates are accurate before submission.

Many school heads make deliberate and avoidable mistakes during registration that later affect candidates. Some candidates may receive incorrect certificates, wrong subject entries and in some cases cancellation of candidates from sitting for National Exams.

In this post, we shall highly the common registration mistakes made by school heads and how they can avoid them to ensure a smooth registration process.

What are the Mistakes Made By School Heads During Registration of KCSE and KJSEA Candidates?

The following are Common Mistakes school heads should avoid;

Incorrect Candidate Names

This has been the most common mistake committed during registration. In most cases, school heads mispel names of candidates or alter the order of names which cost students later.

Sometimes, you will find that some candidates miss their surnames or middle names or names completely different from those that appear in the birth certificate.

Why is this a Serious Offence?

Names that are incorrectly entered during registration appear the same in the final exam and in the KCSE or KJSEA certificate.

Sometimes, many school heads discover these anomalies later when registration has been closed which makes it hard for them to make corrections. In order to correct the anomaly, one needs to formally write to the Kenya National Examinations Council for correction and this may take long or attract additional charges.

How can I avoid this Mistake?

  1. Before submitting the registration details, counter check that the names appear the same as those on the birth certificate or National ID.
  2. Before final submission allow students to confirm their details for two or three times to ensure that every student is satisfied.
  3. Print and cross check the nominal roll before registration period is closed.

Wrong Gender Entry

During registration, gender selection is done on a drop down and therefore chances of selecting a wrong gender are very high. If the wrong gender is selected, it will be reflected in the final KCSE certificate which may affect the student later in the job market.

This mistake may also cause mismatch in other official documents something that may deny one an opportunity in the future.

How can I prevent this Mistake?

  • Ensure that you check the official documents properly for gender details.
  • Ask class teachers for class register to confirm details before submitting the final registration details.

Incorrect Subject Selection

Students have their subject preference that they wish to sit for in their final exams/assessments depending on the pathway/career they wish to venture into in future.

Sometimes, during registration school heads may assign cyber attendants to do the job but end up selecting wrong subjects for the candidates or omit some subjects. In other cases, some students may be assigned less subject areas than the recommended number.

When such happens, it inconveniences a student during exams since they are forced to sit for a subject/learning are they are not prepared for.

How can schools Avoid this Mistake?

  1. Ensure that you confirm the subject choices of candidates with the subject teachers in school.
  2. Give candidates the opportunity to counter check their subject combinations first before submitting the final details to the KNEC portal.

Wrong citizenship Status

Some schools may register their candidates as foreigners instead of Kenyans during citizenship selection.

When a student is registered as a foreigner, this impacts on the examination fees paid and candidate classification. Therefore, a student may end up paying huge sums of money than the normal fees.

Ensure that before you choose the nationality of the candidate, confirm properly with their birth certificates.

Uploading Incorrect Candidate Photo

Its a mandatory practice and requirement from the Kenya National Examinations Council that schools upload passport sized photos for all candidates during registration.

These passport-size photos appear in the final certificate which identifies the owner. Some of the common mistake made with these passports include:

  • Taking photos that are of poor quality with poor resolution.
  • Due to picture mix-up, school heads end up submitting wrong passport for wrong student which end up bring about identification issues during exams.

To avoid this mistake, take clear pictures with high resolution cameras to get quality images. Avoid taking photos with phones that are of low resolution.

On the same note, check to ensure that the photo matches the candidate names before uploading. To ensure this is achieved, rename pictures with names of candidates to avoid mix up.

KCSE & KJSEA Registration Mistakes Schools Should Avoid

Registering Ineligible Candidates

The Kenya National Examinations Council sets the requirements students must meet for the to be registered as candidates in a school. Some school heads end up overlooking these requirements and registering Ineligible Candidates.

Some of the requirements set by KNEC guiding who needs to be registered include;

  • Students who attend school regularly with proper track records.
  • Candidate to be registered must have transitions from form one to form four for them to be eligible.
  • Candidates who have transfered to a school with proper documentation from their current previous school.

Therefore, before registering a candidate in a school, ensure that they meet the above requirements for them to be eligible.

Missing Registration Deadline

The Kenya National Examinations Council (KNEC) sets strict deadlines that needs to be adhered to with few chances of deadline extension. Failure to honor these deadlines, some of your candidates may be locked out and may miss sitting for their National Examinations.

In order to avoid late registration and further penalties, track the KNEC official circulars for announcements on deadlines, begin early registration and also assign a teacher to help you with registration process in case your schedule is strained.

Failure to Verify the Nominal Roll

Once the school has submitted the registration details to KNEC, a nominal roll is generated and sent to schools for confirmation and verification of the registration details.

Some school heads fail to give students the Nominal Roll to confirm their details hence if errors were committed during registration, they won’t be corrected something that will have huge impact during and after exams.

Ensure that once you receive the nominal roll, go through the registration details of every candidate before handing them the roll to confirm and verify that their registration details are okay.

Ask the student to check on important details like names, index numbers, subjects and subject codes, Gender and citizenship Status.

Incorrect School Codes

Ensure that you use the correct centre code during registration because if wrong code is entered, your candidates will be attached to a wrong examination centre which may affect examination logistics.

During registration , ensure that you check the centre code from the KNEC official documents.

Failure to keep registration details

Some school heads fail to maintain proper registration details documents like registration forms, payment receipts, printed nominal roll and subject confirmation lists.

Keeping this documents properly, minimizes chances of issues that may arise in future from student and examination body.
